5 tasks every small business can hand to AI this year

Practical automations that save hours every week, without a big IT project.

You don’t need a data science team to get value from AI. For most small businesses and organisations, the biggest wins come from handing over repetitive work: the questions, emails and documents your team handles every day.

Here are five tasks that are ready for AI today, what each one looks like in practice, and how to start without risk.

1. Answering common customer questions

Most businesses answer the same twenty questions again and again: opening hours, prices, availability, how to book, what to bring. An AI assistant on your website can answer these instantly, at any time, using only information you have approved.

The key is to train it on your own content, such as your website, price lists and FAQs, and to hand over to a person when a question is unclear or sensitive. Done well, customers get faster answers and your team gets time back for the conversations that matter.

2. Sorting and routing incoming emails and forms

If one inbox receives orders, complaints, job applications and supplier offers, someone spends part of every day reading and forwarding. AI can read each message, recognise what it is about, tag it and send it to the right person or system.

This works especially well for contact forms. A request can arrive already categorised, with the key details pulled out, so nobody has to retype them.

3. Drafting replies, quotes and proposals

AI is very good at producing a solid first draft. Give it the customer’s request, your price list and a few past examples, and it can prepare a reply or a quote that a person checks and sends.

The person stays in control. The difference is that they spend two minutes reviewing instead of twenty minutes writing.

4. Extracting data from documents

Invoices, receipts, application forms, certificates and contracts all contain information that usually ends up typed into another system. AI can read these documents, pull out the fields you need and fill them in automatically, flagging anything it is unsure about.

For organisations that handle registrations or memberships, this alone can remove hours of manual data entry every week.

5. Turning data into weekly reports

Many teams spend Monday mornings collecting numbers from different tools into a spreadsheet. An automation can gather that data, and AI can summarise it in plain language: what changed, what needs attention and what is going well.

You get the same report every week, on time, without anyone building it by hand.

How to start safely

  • Start with one task. Pick the most repetitive, lowest-risk job and prove the value there first.
  • Keep a person in the loop. Let AI draft, sort and suggest, and let your team approve, especially for anything customer-facing.
  • Protect personal data. Use tools and setups that comply with GDPR, and avoid sending sensitive data to services you don’t control.
  • Measure the time saved. Track how long the task took before and after, so you know where to invest next.
