A good partner saves you time, money and stress for years. The wrong one can leave you with a late, expensive system that nobody can maintain.

These seven questions will help you compare proposals properly, and see beyond the price and the portfolio.

1. Who will actually work on my project?

Many agencies are represented by a confident salesperson, and the work is then handed to someone you have never met. Ask who will design, build and manage your project, and whether you can speak with them before you sign.

A good answer names the people and their roles, and gives you one clear point of contact.

2. Can I see similar work, and talk to a past client?

A portfolio shows what a project looks like. A conversation with a past client tells you what it was like to work together: whether deadlines were kept, how problems were handled and whether they would hire the team again.

A good partner is happy to share live examples and put you in touch with a client.

3. How do you price, and what is not included?

Two quotes with the same total can contain very different things. Ask for a written scope, and ask specifically what is not included: content, translations, hosting, licences, training, support after launch.

A good answer is a clear scope with a fixed price or a transparent hourly model, and no surprises later.

4. How will I see progress during the project?

If you only see the result at the end, it is too late to change direction. Ask how often you will see working progress, and how you can give feedback.

A good answer is regular demos, for example every two weeks, and a shared view of what is done and what is next.

5. What happens when our requirements change?

They will. You will learn things during the project, and your business will keep moving. Ask how changes are handled and priced.

A good answer explains a simple process: small changes fit into the plan, bigger ones are estimated and agreed before work starts.

6. Who owns the code, the content and the accounts?

This question is often forgotten, and it matters most when you want to change partner later. Ask who will own the domain, the hosting account, the code and the content.

A good answer is simple: you do. Everything is registered in your name, and you receive access and documentation.

7. What happens after launch?

Software needs updates, security fixes and improvements. Ask what support looks like after launch, how fast they respond to problems and what it costs.

A good answer is a clear support plan with agreed response times, or a full handover to your own team if you prefer.

Warning signs to look for

A price that is far lower than every other quote, with a vague scope.

No written proposal, or a proposal that is mostly sales language.

Unwillingness to let you speak with the people who will do the work.

Accounts and domains registered in the agency’s name instead of yours.

No plan for what happens after launch.

Making the decision

The best partner is rarely the cheapest or the most impressive in the first meeting. It is the team that understands your goals, explains things clearly and shows you how they will keep you informed.
